The short version

1. Who we are

Monarc Media (“Monarc,” “we,” “us”) is a UGC creator agency based in South Africa. Under South Africa’s Protection of Personal Information Act, 2013 (“POPIA”), Monarc Media is the responsible party for your personal information, and its Information Officer can be reached at the email below. This policy covers the website www.monarcmediahq.com (the “Site”) and inquiries you send us. Information handled during a paid engagement is also covered by the service agreement for that engagement.

2. Information we collect

Information you give us

Please don’t send sensitive information (such as ID or bank account numbers) through the form or by email. We never collect payment card details on this Site.

Information from other sources

For business outreach, we may collect the name, job title and work email address of people at brands we think could use our services. These come from public sources, such as company websites and professional profiles, and from business-contact data tools.

Information collected automatically

3. How we use it

We process personal information only on a lawful ground under POPIA (section 11): to take steps toward or perform a contract with you, to pursue our legitimate business interests, to comply with the law, or with your consent. You can object to processing at any time.

4. Who we share it with

We use these service providers to run our business. We share only what each one needs:

5. Cookies and browser storage

There are no advertising cookies, social-media pixels or cross-site trackers on this Site, and fonts and scripts are served from our own domain. This is everything that may be stored on your device:

Do Not Track: the Site doesn’t change its behavior in response to browser “Do Not Track” signals. We don’t track you across other websites. Google may collect data across sites through reCAPTCHA after you submit the form.

6. How long we keep it

We keep personal information only as long as we need it for the purpose it was collected for. We keep client records (contracts and invoices) as long as tax and other laws require. We periodically delete old inquiries that didn’t lead to a project. You can ask us to delete your information sooner.

7. Security

We use reasonable technical and organisational measures to protect personal information, and access to it is restricted. No system is perfectly secure. If we believe your personal information has been accessed by an unauthorised person, we will notify you and the Information Regulator as POPIA (section 22) requires.

8. Your rights

Under POPIA you may ask us to tell you what personal information we hold about you and give you access to it. You may also ask us to correct or delete it, and object to our processing it, including for direct marketing. To make a request, email inquiries@monarcmediahq.com with the subject “Privacy Request”. We may ask you to confirm your identity. We will respond within a reasonable time, normally within 30 days. Access requests may also be made under South Africa’s Promotion of Access to Information Act, 2000 (PAIA).

If you’re unhappy with how we handle your information, you can complain to the Information Regulator (South Africa): Woodmead North Office Park, 54 Maxwell Drive, Woodmead, Johannesburg, 2191 · POPIAComplaints@inforegulator.org.za. If you live elsewhere, you may also have rights under your local law, and we’ll honor requests in the same way.

9. Cross-border transfers

We are based in South Africa, but the providers listed above store and process data mainly in the United States. Sending us an inquiry therefore means your information is transferred outside South Africa, to providers that publish their own data-protection commitments, or because the transfer is needed to respond to you or carry out a contract with you, as POPIA (section 72) allows.

10. Emails from us

Sending an inquiry doesn’t sign you up for a newsletter. We use your email to continue the conversation you started. We may also email people at businesses we think could use our services. Every email we send identifies Monarc Media, and you can ask us to stop at any time by replying “unsubscribe”. We’ll stop promptly.
